Vendor Fees
EARLY BIRD SPECIAL: $85 PER VENDOR SPACE

Beginning September 30, 2026:
Regular Vendor Fee: $105 per vendor space
Each vendor registration includes one 6-foot vendor space.
Tables are NOT included. Vendors are responsible for bringing their own 6-foot table, chairs, displays, signage, and any other materials needed for their space.
Need more room? Additional vendor space may be purchased for an additional fee, subject to availability.
IMPORTANT NOTES:
Vendor approval will be confirmed via email within 72 hours of your application submission.
Once approved, payment must be remitted within 48 hours of the approval email. Failure to submit payment on time may result in forfeiture of your spot.
The registration fee is non-refundable.
Application Deadline: All vendor applications must be submitted by November 22nd, 2026.
Payment, Cancellation & Refund Policy
Once your vendor application has been reviewed and accepted, you will receive an invoice via PayPal for your vendor fee.
Your vendor space is not officially reserved until your PayPal invoice has been paid in full. Submitting an application does not guarantee or reserve a vendor space.
VENDOR FEES ARE NON-REFUNDABLE UNLESS THE EVENT IS CANCELED BY THE REAL LADIES OF LOUDOUN COUNTY.
If RLOLC cancels the Holiday Expo because the required 85% vendor capacity is not reached, all registered vendors will receive a 100% refund of their vendor fees.
If a vendor chooses to cancel, is unable to attend, or does not
participate for any reason, their vendor fee will not be refunded.
If the event does not reach the required 85% vendor capacity, vendors will be notified of the cancellation no later than November 22, 2026.
By submitting payment, vendors acknowledge and agree to this cancellation and refund policy.
PROMOTION REQUIREMENT
All participating vendors are required to actively promote the Holiday Expo through their available platforms, including social media, business pages, email lists, and/or other appropriate channels.
RLOLC will provide promotional materials that vendors can use to help spread the word. The success of this event depends on all of us working together to promote it and bring shoppers through the doors!
